How it works

The math behind the calculator

The calculator works backward from capacity, the same way we plan a marketing budget with a practice.

01

1. Start from capacity

Capacity is the number of new-patient consultations your team can handle each month without hurting existing patients. Marketing beyond capacity wastes money and frustrates families.

02

2. Find the gap

The gap is capacity minus the consultations you already book each month from referrals, returning families and current marketing.

03

3. Convert the gap into inquiries

Inquiries needed = consultation gap divided by your inquiry-to-consultation rate. A practice that books 50% of inquiries needs twice as many inquiries as open slots.

04

4. Estimate starts and value

Expected starts = consultation gap multiplied by your consultation-to-start rate. Multiply by your average treatment fee to see the potential production value.

05

5. Price the gap with paid search

If you know your cost per inquiry from Google Ads, the calculator shows the monthly ad spend needed to fill the gap with paid search alone. SEO and referrals usually lower that number over time.

Calculator questions

Marketing calculator FAQ

How to use the results.

Where do I find my inquiry-to-consultation rate?

Count calls and form inquiries from new patients for one month, then count how many of them booked a consultation. Your call tracking or practice software can usually show both.

Are the example numbers industry benchmarks?

No. They are placeholder values so the calculator shows a result. Replace every field with your own numbers.

Is my data saved?

No. The calculator runs entirely in your browser and nothing is stored or sent.

What if my gap is zero or negative?

Then you are at or above capacity, and the best investment is usually conversion and scheduling, not more marketing.

Should the whole gap come from Google Ads?

Usually not. Ads fill gaps quickly, while SEO, Google Maps and referrals lower the cost per new patient over time. The paid-search figure is a ceiling, not a recommendation.
