Missed call revenue calculator for orthodontic and dental practices
This calculator estimates how much treatment production your practice loses each month and each year when new-patient calls go unanswered and the caller never calls back. It is built for US orthodontic and dental practices. In the worked example below, 12 missed new-patient calls a month add up to about $9,000 in lost production a month, or $108,000 a year.

What each input means
Where to find each number
Use one recent, typical month. If you only have a rough figure, the result is a rough estimate.
| Input | What it means | Where to find it |
|---|---|---|
| New-patient calls per month | Calls from people who are not yet patients | Call tracking report, phone system log or front desk tally |
| Calls missed (%) | Share of those calls that ring out, hit voicemail or are abandoned on hold | Phone system missed or abandoned call report |
| Missed callers who never call back (%) | Share of missed callers who do not reach you later | Compare missed numbers with later calls and new-patient records |
| Call to consultation rate (%) | Share of answered new-patient calls that book a consultation | New consultations booked divided by answered new-patient calls |
| Consultation to start rate (%) | Share of consultations that start treatment | Your practice management software |
| Average treatment fee ($) | Typical fee for a full treatment | Your fee schedule or average case value |
How it works
The method, step by step
Every figure comes from your own inputs. The calculator does not use industry averages. Formula last checked October 17, 2026.
1. Missed calls
Missed calls = new-patient calls per month × calls missed (%).
2. Lost callers
Lost callers = missed calls × missed callers who never call back (%). Callers who reach you later are not counted as lost.
3. Lost consultations
Lost consultations = lost callers × call to consultation rate (%). This assumes lost callers would have booked at the same rate as the callers you answer.
4. Lost starts
Lost starts = lost consultations × consultation to start rate (%).
5. Lost production
Lost production per month = lost starts × average treatment fee. Lost production per year = monthly figure × 12. Recovery if you halve missed calls = half of the yearly figure.
Worked example
One example, calculated in full
Example values only, not benchmarks.
| Step | Calculation | Result |
|---|---|---|
| Missed calls | 80 calls × 15% missed | 12 calls |
| Lost callers | 12 × 50% never call back | 6 callers |
| Lost consultations | 6 × 50% call to consult | 3 consultations |
| Lost starts | 3 × 60% consult to start | 1.8 starts |
| Lost production per month | 1.8 × $5,000 | $9,000 |
| Lost production per year | $9,000 × 12 | $108,000 |
| Recovered by halving missed calls | $108,000 ÷ 2 | $54,000 a year |
Common answers
Lost production by number of lost callers
Assumes 50% of callers book a consultation, 60% of consultations start and an average fee of $5,000. Change any of these in the calculator.
| Lost callers per month | Lost starts per month | Lost production per month | Lost production per year |
|---|---|---|---|
| 2 | 0.6 | $3,000 | $36,000 |
| 5 | 1.5 | $7,500 | $90,000 |
| 10 | 3 | $15,000 | $180,000 |
| 20 | 6 | $30,000 | $360,000 |

FAQ
Missed call revenue calculator FAQ
How does the missed call calculator work?
It takes your new-patient calls per month and the share you miss, then estimates how many of those callers never call back. From there it applies your call-to-consultation and consultation-to-start rates and your average treatment fee to estimate the starts and production lost each month.
Where do I find my missed call numbers?
Most practice phone systems and call-tracking tools show missed and unanswered calls by day. Count only new-patient calls, and check a full month so one busy week does not skew the result.
What is a reasonable callback time?
There is no official standard, but the sooner the better: a caller who reaches voicemail is often still comparing practices. Many teams aim to return every missed new-patient call within the hour during opening times.
Is this an exact figure?
No. It is an estimate built from your own inputs, so it is only as accurate as the numbers you enter. Use it to size the problem, then track real callbacks to see what changes.
