Case acceptance rate calculator for orthodontic practices

This calculator shows your current case acceptance rate (the share of consultations that start treatment) and what reaching a higher rate is worth in extra starts and production, from consultations you already have. With the example values below, moving from 60% to 70% acceptance adds 3 starts a month, or $180,000 a year.

How it works

The method

Every figure comes from your own inputs. Formula last checked October 17, 2026.

01

1. Current acceptance rate

Case acceptance rate = treatment starts ÷ consultations × 100.

02

2. Extra starts at target

Extra starts = consultations × target rate − current starts. If you are already at the target, the result is zero.

03

3. Extra production

Extra production per month = extra starts × average treatment fee. Per year = monthly figure × 12. This is revenue, not profit.

FAQ

Case acceptance rate calculator FAQ

How is case acceptance rate calculated?

Treatment starts in a month divided by consultations in the same month. The calculator then shows how many extra starts, and how much extra production, you would get at your target rate.

Why does my rate look different month to month?

Families often take weeks to decide, so a consultation in one month may start in the next. Looking at three or six months together gives a steadier figure.

What improves case acceptance?

Clear fees and payment options, a consultation that answers the questions families actually ask, and a consistent follow-up for those who do not decide on the day. Our guide to consultation follow-up covers the follow-up part.

Should virtual or free consultations count?

Count them the same way every month. If you want to compare channels, track in-person and virtual consultations separately.
